That separation stops a new run from overwriting the last one, which is the most common way a spreadsheet loses its history.

Six Places Excel Stops Working

Nobody owns the truth. Shared sheets in Excel or Google Sheets allow several people to type at once, so the problem is rarely two people editing the same cell. It is that any result can be changed by anyone with no record of who changed it or when. Copies emailed around make it worse. When someone asks which version is current, the answer is a file name.

Requirements, tests and bugs do not link. A requirements traceability matrix kept in Excel is a manual cross-reference. It is accurate on the day it is updated and stale after the next change. A bug reported in chat, a failing test in a cell and the requirement it violates end up in three places, and joining them is a job for a person.

Evidence lives somewhere else. A failed test needs a screenshot, a recording, the console errors and the environment details. In a spreadsheet these become links or pasted images in a cell, and the proof drifts away from the result it explains.

There is no history. A cell holds the latest result, not the run. You cannot easily see what passed last release, compare two runs, or show what changed when a defect resurfaces. Once a result is overwritten, it is gone.

Reporting becomes a chore. Summing pass and fail across tabs works until a formula breaks or a tab is added. And the number you get, how many tests were run, is the least useful one. What a release decision needs is which requirements were validated and where the gaps are, which a flat sheet does not show.

It cannot keep up with the pace. Test cases now arrive faster than a sheet can organise them. AI-powered test case generation can help teams create test cases faster, while a structured test management workflow helps keep them organized and relevant. AI accelerates speed. Not quality.
